2018 Prairie Village HOA Spring Meeting Minutes
April 17, 2018
Hathaway garage
1. Meeting called to order at 6:46 pm
2. A quorum was met
3. Polly reviews and presents proofs of due calling of the meeting
4. Board of Directors Reports
a. Presidents report
i. Shrubs - may have a disease. Taking a sample to WVU to confirm/find a solution.
ii. The Next-Door app is working nicely. People came for Trick-or-Treat because of it.
b. Treasurers report
i. 6 dues checks are already collected
ii. PO Box fee is now $70 per year.
iii. BB&T thinks we can get a better deal on our liability insurance. We will know for sure by the time we need to renew our insurance.
c. Secretary
i. Minutes from the 2017 Fall Meeting were read and approved.
5. Unfinished Business
a. We are working on dates for the storm drain cleaning.
i. Tentative dates are: May 5, May 12, May 19, and June 2
b. Welcoming Committee
i. They now have a handout directing new owners to our PV website.
6. New Business
a. Collections Policy
i. We have a summary of all of the lengthy letters and emails sent out.
ii. The main points are: due date, late fees, and liens.
iii. Dennis will update by indicating where in our governing documents owners can find appropriate references.
iv. Will eventually be on the PV website and become a part of welcome packet.
b. Building and Landscape Committee
i. They are working on set rules for the community.
1. #1 needs changed because WV Law prohibits HOA's from prohibiting solar panels if they are professionally installed.
2. The board will continue to work on the rules.
3. Will hopefully vote on "commandments" at the annual fall meeting
c. Cows in the neighborhood - if this happens again call animal control. This is not the HOA's responsibility.
d. Kurt and his son will mow the community plot for $50 a month.
i. Jeffrey Carver motions to allocate $300 from budget for mowing. Nate Stilwell seconds.
7. Polly motions to adjourn. Nate Stilwell seconds. Meeting adjourned at 7:50 pm
